Design and Administrative assistant (Chelsea)

High-end residential interior design firm in Manhattan seeks a proficient office assistant with excellent communication, organization, and administrative skills, who can contribute to design projects as well as fulfill administrative duties.

The successful candidate MUST be detail oriented and extremely well organized, a creative and resourceful problem solver, always personable and professional, and passionate about interior design in general and our aesthetic sensibilities, in particular.

Primary administrative responsibilities include:
- assisting with preparing client presentations
- managing and tracking client invoices and purchase orders
- oversee vendors and production details and schedules
- filing, faxing, copying, handling mail
- greeting visitors and responding to routine client requests
- managing executive travel, meetings and calendar
- compose communications and correspondence

Design assistant responsibilities include:
- assisting with preparation of materials for client presentation
- sourcing furniture, fabrics, accessories
- running shopping errands
- organizing project files
- maintaining resource library
- placing orders and following up with vendors and clients on deliveries
- creating and maintaining detailed budgets
- developing and updating client to-do lists

REQUIRED qualifications:
- administrative or executive assistant experience in an interior design firm or similar environment
- undergraduate degree or equivalent experience, preferably in interior design or architecture
- proficient computer skills: MS office, Outlook, Photoshop
- knowledge of AutoCAD, In-Design is a plus
- bookkeeping or accounting experience is a plus
