REPAIR MAINTENANCE COORDINATOR

The Opportunity:
Reporting to the Vice President, Design Construction Maintenance, you will coordinate and facilitate the completion of PRG construction projects, equipment repairs and maintenance issues for the Design, Construction Maintenance department. In addition, you will collaborate with vendors, unit operators, and corporate team members to ensure projects are completed according to schedule and budget.
Responsibilities:
Assist VP with development of the yearly capital plan;
Maintain the protocol established for any capital work;
Assist in soliciting competitive pricing, organizing and leveling bids;
Coordinating with the Purchasing department in obtaining multiple bids;
Distribute construction documents to appropriate parties involved in transactions;
Collaborate with key departments to research current roles, guidelines, and procedures in an effort to streamline processes and maximize efficiency;
Prepare Capital Expenditure Requests (CER's);
Shepherd requests through financial approval by senior management;
Track expenditures and maintain accurate financial records;
Track and process invoices by confirming completion and acceptance of work prior to vendor payment;
Notify the restaurants of upcoming scheduled work and provide support as needed;
Constant follow-up with vendors to expedite delivery and installation of equipment and materials;
Assist with Board of Health compliance and troubleshoot as needed to get our field team the tools and resources needed;
Maintain preferred vendor list and refer units to resources accordingly;
Assist with emergency repairs by notifying and dispatching contractors;
Learn Lease Management System (Property Works Database);
Assist with special projects as requested.
Qualifications Team Member Requirements:
Construction/Architecture/Design /Facilities Management work experience of 2-5 years;
Ability to discern between proposals and invoices;
Knowledge and exposure to restaurants, preferred;
Strong administrative duties including but not limited to: attention to detail and organization, time management, data entry, Microsoft Office Applications (Word, Outlook, Excel, Access, etc.);
CAD and Microsoft Projects experience a plus;
Strong communication skills and follow-up skills are required;
Ability to manage multiple work steams and multi-faceted projects with speed and accuracy;
Motivation to learn and excel within the department and company;
Customer service and team-oriented.
