EXECUTIVE ASSISTANT JOB DESCRIPTION
OVERVIEW:
This position works DIRECTLY with/supports the President and Founder of Harlem Lofts, AND represents the "FACE" of Harlem Lofts to our guests, clients, partners, the media, and the community at large. In short. . .this is the MOST critical position in the office other than the President.
WORK SCHEDULE: 9am - 6pm (Tuesdays through Saturdays)
COMPENSATION: Total package to $60,000/year ($40-$45k base) contingent upon experience includes:
â Base salary: $40,000- $45,000 per annum.
â 15 paid personal and vacation days (combined.)
â 8 paid company Holidays.
â Health insurance provided through MVP Preferred EPO (HLI contributes 80%.)
â 401K retirement plan (company matches 3-5% maximum.)
THE INTANGIBLES
â You are professional and highly polished, almost NOTHING throws you off your "A" game;
â Serve PRIMARY day-to-day Office Management/Operations leadership role;
â Direct prior work experience in residential real estate is HIGHLY preferred;
â Possesses a tremendously high energy level and a CAN-DO attitude;
â You naturally take ownership of your work with a MINIMUM of direction and oversight
â You CONSTANTLY strive to achieve the highest levels of performance especially in this CRITICAL in supporting the President;
â Must possess an innate curiosity and the desire to constantly learn new skills;
â MUST possess AT LEAST a high-level understanding of and experience with CRM systems and Google Docs as a platform for working with others; and
â The ability to multi-task comes naturally to you, you enjoy and thrive at working independently, and with a minimum of guidance is STRONGLY preferred.
THE DETAILS (JOB REQUIREMENTS):

SYSTEMS, MARKETING WEBSITE REQUIREMENTS
â Assist President in maintaining/updating constantly our Sales Agent CRM system;
â Manage year-long INTERN employee program;
â Understand Gmail and G-Docs in sufficient detail to run a HIGHLY efficient business;
â Manage ALL day to day office operational issues, including but NOT limited to: relationships with phone and IT vendors, support issues with our remote Team of 4-5 sales Agents;
â Manage content upgrades to website with web design vendor;
â Own the firm's media, PR, and social media programs; and
â Design, develop and mail/email ongoing postcards, e-newsletters, and email annual reports to renters, building owners, townhouse and condo owners; and
â Coordinate staff bi-weekly meetings.
MUST COMPLETELY UNDERSTAND AND USE GOOGLE DOCS and all Google products as our office runs on Gdocs.
ORGANIZATIONAL MANAGEMENT
â Maintain the firm's Operating Procedures and all documentation for full-time in-office and virtual (Sales/Agent) staff;
â Administer new Agent training program: Maintain New Agent Protocols documentation, listing protocols documents, and arrange software training to Agents on an as-needed basis; and
â Maintain a professional office environment at all times.
LISTINGS MANAGEMENT
â Responsible for updating all of our firm's various property listings in multiple online directories;
â Ensure that all listings comply with HL brand (description, graphics) and feed to all websites;
â Electronic copies of all agreements must be kept in order for audit;
â Provide weekly reports to President by end of day Saturday; and
â Employee will conduct Open Houses as needed for President's listings.
